Cancellation Policy

Should you need to cancel, please do so at least 8 hours in advance of your scheduled appointment. If you cancel with less than 8 hours' notice, the credit card on file will be charged a $20 late cancellation fee. A no-show is charged 25% of the session cost plus $20.

We understand that life happens and emergencies come up. Cancellation and no-show fees are reviewed individually, and can be waived or refunded on a case-by-case basis; we'd rather talk with you about your specific situation than apply a blanket rule.

Privacy Policy

We receive, collect, and store any information you enter on our website or provide us in any other way. We also collect the Internet protocol (IP) address used to connect your computer to the Internet; login; email address; password; computer and connection information; and purchase history. We may use software tools to measure and collect session information, including page response times, length of visits to individual pages, page interaction information, and methods used to browse away from the page. We also collect personally identifiable information (including name, email, password, communications), payment details (including credit card information), comments, feedback, product reviews, recommendations, and personal profile.

SMS Communications: By providing your phone number and consenting during our intake process, you agree to receive text messages from Body Balance Therapeutic Massage regarding appointment reminders, confirmations, scheduling updates, and direct client communications. Message and data rates may apply. Message frequency varies. To opt out of SMS communications at any time, reply STOP to any message you receive from us. For help, reply HELP. You can also opt out by contacting us at booking@bodybalanceTM.com.

When you conduct a transaction on our website, as part of the process, we collect the personal information you give us, such as your name, address, and email address. Your personal data will be used for the specific reasons stated above only.

We collect such Non-personal and Personal Information for the following purposes:

  • To provide and operate the Services.
  • To provide our Users with ongoing customer assistance and technical support.
  • To be able to contact our Visitors and Users with general or personalized service-related notices and promotional messages.
  • To create aggregated statistical data and other aggregated and/or inferred Non-personal Information, which our business partners or we may use to provide and improve our respective services.
  • To comply with any applicable laws and regulations.

Our website and business systems are hosted on Vercel, with client data stored and secured through Supabase. Both providers maintain industry-standard security practices, including encrypted data storage and regular backups.

Payment processing is handled by Stripe. When you make a payment, your payment information is collected and processed directly by Stripe, not stored on our servers. Stripe may collect and use your data in accordance with its own privacy policy, available at stripe.com/privacy. All direct payment gateways offered by Stripe and used by our company adhere to the standards set and managed by the PCI Security Standards Council, a joint effort of brands like Visa, MasterCard, American Express, and Discover. PCI-DSS requirements help ensure the secure handling of credit card information by our store and its service providers.

We may contact you to notify you regarding your account, to troubleshoot problems with your account, to resolve a dispute, to collect fees or monies owed, to poll your opinions through surveys or questionnaires, to send updates about our company, or as otherwise necessary to contact you to enforce our User Agreement, applicable national laws, and any agreement we may have with you. We may contact you via email, telephone, text messages, and postal mail for these purposes.

Refund Policy

Single sessions and consultations follow the Cancellation Policy above. Sessions that are attended as scheduled are not eligible for a refund after the appointment has taken place.

Programsare a bigger commitment, and we want you to feel confident starting one, not locked in. We don't have a blanket refund formula, because we'd rather have a genuine conversation with you about why a program isn't working or why your circumstances have changed than apply a one-size-fits-all rule. If life gets in the way, a documented medical need arises, or a program turns out not to be the right fit after a real effort, reach out and we'll work through it together, case by case.

Our Satisfaction Guarantee:This isn't a guarantee of clinical results, everybody's body responds differently, and we can't promise a specific outcome. What we do guarantee is that you won't feel like a session was a waste of your time or money. If that happens, tell us, and we'll make it right, whether that's a refund or a complimentary session to try again.

Gift certificates are non-refundable, except in extreme circumstances (such as relocating out of state), reviewed case by case.

We typically use or share your health information to treat you, run our practice, and bill for your services. To the extent that we have your substance use disorder patient records, subject to 42 CFR Part 2, we will not share that information for investigations or legal proceedings against you without (1) your written consent or (2) a court order and a subpoena.

Virginia State Law

In addition to your rights under federal law, Virginia state law (Va. Code § 32.1-127.1:03) also recognizes your right of privacy in your health records. Beyond the uses and disclosures described above, we will not redisclose your health information for a different purpose without first obtaining your specific authorization.
